Most HVAC contractor missed-call cost calculators online are built by companies selling missed-call recovery software. That is fine, but the numbers are usually inflated to make the pitch louder. Here is the honest formula and a calculator you can use on your own numbers.

The formula

Effective cost of a single missed call =

(Average booked ticket) × (Close rate on booked calls) × (1 − Recovery rate from voicemail hang-ups)

Three inputs, one output. Let me walk through why each one matters.

Average booked ticket

Your dispatcher or ServiceTitan / Jobber / Housecall Pro data has this exactly. Weighted average of what you actually invoice on a completed job. For residential HVAC in 2026 the US median is roughly $500 for a repair, $300-$600 for a routine tune-up or diagnostic, $2,500-$12,000 for install work. If your mix is 60 percent service or repair, 25 percent install-lead, 15 percent emergency, your weighted average ticket is around $850. If you are 100 percent maintenance-only, closer to $400.

Close rate on booked calls

Not every call that gets booked converts to a completed invoice. Cancellations, no-shows, quotes that never sign. Industry median close rate on booked calls is 55-70 percent for repair, 20-35 percent for install-lead. Weighted by mix: about 60 percent.

Recovery rate from voicemail hang-ups

This is the number vendors inflate. Real 2026 data on hang-up recovery is 3-7 percent. That means 93-97 percent of the callers you missed went to a competitor and never came back.

Sanity-check your inputs. If your calculator shows anything over $500 per missed call as the effective cost, one of two things is happening: your average ticket is unusually high (install-heavy mix), or your recovery rate input is unusually low (below the 3-7 percent real range). Both are possible, but check them against your own data before running with the number.

How to get your actual numbers

You need three sources.

Average booked ticket

Pull your last 90 days of completed invoices from your dispatcher. Average them. Do not use quoted amounts; use completed. If your dispatcher does not surface this, the raw QuickBooks export works.

Close rate on booked calls

Ratio of completed jobs to booked appointments over the same 90 days. If you booked 300 appointments and completed 190 invoices, your close rate is 63 percent.

Missed calls per week

Ask your phone provider for a call log export. Every provider has this (Google Voice, RingCentral, Nextiva, Vonage, or a legacy PBX). Count inbound calls with duration under 8 seconds or explicit voicemail-only outcomes. That is your missed-call baseline. Median 5-tech residential HVAC shop lands at 15-40 per week.

What the number typically looks like

For a residential HVAC shop with a $500 average ticket, 60 percent close rate, and 25 missed calls per week, the walked-away weekly revenue is $7,125. Monthly: about $30,900. Annually: about $370,500.

Even at the low end (small maintenance-focused shop, $400 ticket, 55 percent close, 15 missed per week), the walked-away weekly revenue is $3,135. Monthly: about $13,600. Still enough to fund an entire missed-call automation build for less than one week of recovery.
