What a missed call text back is
When a call rings out, goes to voicemail, or comes in after hours, your phone system or field service software sends a text to that number within moments. The customer sees a message from your business instead of silence, and replies by text.
Podium's Phones page describes its version this way: "When a call is missed, the caller will receive a text message re-engaging them, ensuring no leads go unattended." Housecall Pro and Jobber each have their own version, covered below. The idea is the same in all three.
It matters for plumbers because the calls come while your hands are under a sink. Nobody picks up a phone with a wrench in one hand, and a caller with a leak does not leave a voicemail and wait.
Five texts to copy
Replace [Business] with your company name. Every one names the business, asks one question, offers a reply option, and ends with the opt-out. All are within 160 characters, so each fits in one standard text. Twilio's documentation gives that limit and explains why emojis and curly quotes shrink it to 70. The texts assume a business name up to 25 characters and a link up to 35 characters; the count under each text is measured with both filled in at that length. A longer name or link may push a text past 160.
1. General, any time of day
[Business]: sorry we missed your call. What's the problem and your address? Reply here and we'll call you back. Reply STOP to opt out.
149 characters with the placeholders filled at their maximum length
2. After hours or emergency
[Business]: we're closed now. Burst pipe or no water? Reply EMERGENCY and we'll call first. Otherwise reply with the issue. STOP to opt out.
155 characters with the placeholders filled at their maximum length
3. You are on a job
[Business]: we're on a job. Reply 1 for a callback today or 2 to book: [link] Reply STOP to opt out.
144 characters with the placeholders filled at their maximum length
4. Caller wants a quote
[Business]: for a quote, reply with a photo of the problem and your zip code. We'll reply today. Reply STOP to opt out.
134 characters with the placeholders filled at their maximum length
5. Caller may be an existing customer
[Business]: sorry we missed you. About work we already did? Reply YES and we'll call you, or NEW for a new problem. STOP to opt out.
147 characters with the placeholders filled at their maximum length
Pick one text to start. Two or three templates that fire by time of day are fine later. Five at once is how replies get lost.
How to set it up
In Housecall Pro
The steps below come from Housecall Pro's Voice Settings Overview help page.
- Open Settings and choose Inbox from the left menu.
- Open the Voice tab and find the missed call automation section.
- Toggle it on, or click the pencil icon to edit it.
- Pick when it runs: during business hours, outside business hours, or any time of day.
- Click Customize message. Use the Add variable dropdown, and add your booking link if you have Online Booking.
- Put your company name in the message. The help page says it is required, so the customer knows who is texting.
That page says the automation texts existing customers. A first-time caller may not get it, so check how it treats new numbers before you rely on it. Housecall Pro's Pipeline FAQs say "Currently, Automation settings can only be accessed via the web portal." That sentence is about Pipeline automations, and the Voice Settings page does not say whether the Voice tab works the same way, so look for it in the web portal first.
In Jobber
The steps below come from Jobber's Receptionist help page.
- Select Receptionist from the side navigation, then select Manage.
- In the Text messaging section, turn on the SMS send back toggle.
- Select Edit and write the message callers will receive. Paste in text 1 or 3 from above.
Per that page, a text back goes to new callers and to callers who match a client profile, as long as they have not had a text back in the past 24 hours and have not replied STOP to earlier Jobber texts. It applies when a caller hangs up before Receptionist can start a conversation. A dedicated phone number is required, and the page lists plan details for Receptionist itself.
On any other phone line
Many business phone and texting products include a missed call text feature, and Podium's Phones page is one example. We have not checked menu paths for every product, so this page does not guess them. Ask your provider four questions:
- Does it text callers who hang up while ringing, or only callers who reach voicemail?
- Can I edit the message and include my business name?
- Where do replies land, and who is notified?
- Does it honor STOP automatically?
Text back, voicemail, answering service, AI receptionist
These four are not rivals so much as layers. The table is our own assessment, written without prices because prices vary by vendor and plan. Check current prices on each vendor's page.
| Option | What happens on a missed call | Reaches the caller | Answers a real question | Best used |
|---|---|---|---|---|
| Voicemail | Caller leaves a message, if they bother | When you return the call | No | Non-urgent calls |
| Missed call text back | Caller gets a text with a reply option | Within moments, by text | Only when you or staff reply | First layer for every shop |
| Live answering service | A person answers and takes a message | On the call itself | Yes, within a script | Shops that want a person on every call |
| AI receptionist | AI answers, asks questions, books or escalates | On the call itself | Yes, within what it is set up to handle | Busy shops and after-hours coverage |
The three pages we read most closely while writing this each pair the text with something else. The plumbingsnapshotforghl.com guide compares the same four options and says text back works best next to booking and an AI receptionist. The US Tech Automations guide compares tools by price and use case. The epiphanydynamics.si guide tells readers to use their own numbers instead of a generic benchmark. We agree with that last point, which is why the next section gives you a formula, not a result.
Who should skip this
This is our opinion, not a finding. A text back may not be worth setting up if:
- You already have a live answering service or an AI receptionist picking up every call. There are few missed calls left to text.
- You miss only a handful of calls a month. Writing down who called and ringing them back yourself costs less.
- Nobody will read the replies. An unread text back is voicemail with extra steps.
- Most of your work is emergency calls. A burst pipe caller needs a voice, so look at call forwarding or an answering service first.
- You cannot register or verify a sending number yet. Fix that first, or the texts may not arrive.
Worked example (illustrative)
Every figure below is made up to show the arithmetic. None of it comes from a study, a customer or OpsJuice data. Replace each input with your own numbers from your phone log and your invoices.
| Input | Illustrative value | Where to find your real one |
|---|---|---|
| A. Missed calls per week | 8 | Your phone's call log |
| B. Share of those callers who reply to the text | 25% | Count replies for a month |
| C. Share of repliers who book | 50% | Your booked jobs |
| D. Average value of a booked job | $300 | Your invoices |
Jobs recovered per week = A x B x C = 8 x 0.25 x 0.5 = 1 job. Revenue per week = 1 x $300 = $300. Run it with your own inputs and keep the result only if you trust them. If B or C is a guess, the result is a guess.
Mistakes that waste the text
- No business name. A text from an unknown number gets deleted. Housecall Pro requires the name in the message.
- No owner for the replies. A text back that nobody reads is voicemail with extra steps. Decide who checks replies, and how often.
- Texting someone who said STOP. Jobber skips callers who replied STOP to earlier texts. Whatever you use, make sure it does the same.
- Over 160 characters, or an emoji. It splits into several texts or switches encoding, per Twilio.
- Asking three questions. The customer answers one. Ask for the address, or the issue, or a time.
- Promising a response time you cannot meet. "We'll call you today" is safer than "within 5 minutes".
- Not registering the sending number. HighLevel's missed call text back help page says at least one number in the account must be verified for SMS, through A2P 10DLC for local numbers or toll-free verification, or follow-up texts fail. Ask your vendor what applies to you.
Where this stops working
A text back does not answer a burst pipe. If you want every urgent call answered, pair the text with call forwarding to a second phone, or look at AI phone answering. The text is the cheap first layer.
The texting rules also apply. The FCC's 2024 order covers how consumers can withdraw consent to texts. Honor STOP every time, and ask a lawyer about your own setup.
Questions plumbers ask
What is a missed call text back?
It is an automatic text message sent to a caller when nobody answers the phone. The text tells them you saw the call and gives them an easy way to reply, so the job does not go to the next plumber on the search page.
Is a missed call text back legal?
Texting a customer who just called you is common practice, but texting rules still apply. Name your business in the message, include a way to opt out such as 'Reply STOP', and stop texting anyone who opts out. The FCC's 2024 order covers how people can withdraw consent. This page is not legal advice, so check your own situation with a lawyer.
Can Housecall Pro text back a missed call?
Yes, for existing customers. Housecall Pro's help page describes a missed call automation under Settings, Inbox, Voice. You choose when it runs and edit the message, and the message must include your company name.
Can Jobber text back a missed call?
Yes, through Jobber Receptionist. Its help page describes an SMS send back toggle that texts callers who hang up before Receptionist can start a conversation. Receptionist needs a dedicated phone number.
How long should the text be?
160 characters or fewer. Twilio's documentation says a standard single text holds 160 characters, and that one emoji or curly quote switches the message to an encoding that holds only 70. All five examples here use plain characters and stay within 160 with a 25-character business name and a 35-character link.
Does a text back replace answering the phone?
No. A caller with water coming through a ceiling may call the next number before your text arrives. The text catches the callers who are willing to wait a few minutes. It works best next to call forwarding or an answering service.
